How we handle your details.

What we collect
When you fill in a form on this website, we may collect your name, email address, optional phone number, city, audience type, interest area, event interest, contact topic, and any note or story you choose to share. If you claim a pass to a room we also record which link brought you — a campaign or a speaker — so we know what worked.
How we use it
We use this information to respond to you, send occasional Oops to Opportunity updates, share event information, understand who the community is reaching, and follow up on story, partnership, or speaker submissions.
Where it goes
When you subscribe anywhere on this site, we keep your email address, the name you gave if you gave one, and which page and which form you used, in Google Firestore — our own database rather than a third party’s marketing tool. We started doing this because the previous arrangement relied entirely on an outside script that many browsers block, which meant people were told they had joined when no record of them existed anywhere. You can leave at any time using the link in any email we send, and we keep a note that you left so that a later form cannot quietly put you back on.
Form submissions and website activity may also be processed through HubSpot, which helps us manage contacts and understand how people move through the site. HubSpot sets cookies on your browser to do this. We also link to platforms such as Instagram, YouTube, and LinkedIn, which have their own privacy practices.
We also count visits ourselves, in a deliberately forgetful way. When a page loads we record the page, the site that sent you, the day, and whether you are on a phone, a tablet or a computer. We do not use cookies for this, we do not record your IP address, and the temporary reference that ties your pages together is thrown away the moment you close the tab — so we can see that a visit happened, and we cannot see that it was you, or that you came back. If your browser asks not to be tracked, we do not count you at all.
Passes and the door list
If you claim a pass to one of our rooms, we keep your name, email address, phone number if you give one, which link you came through, and whether you arrived on the night. That record is held in Google Firestore, which is our own database rather than a third party's marketing tool, and it exists so that your name is at the door and so we know how many chairs to put out.
We email you a confirmation, a reminder before the evening, and a note afterwards. Those are sent through Brevo, an email service in the European Union. We keep the door list until the room has happened and the follow-up is done, and then we remove the contact details from it.
Your consent
Where a form has a consent box, ticking it is how you allow Oops to Opportunity to contact you about that request. You can ask us to update or remove your details at any time by using the contact form.
One box works the other way round, and we would rather say so than let you find out. On the pass form, the box that adds you to the weekly reflection comes already ticked. Untick it before you send the form and you will hear from us only about the room. If you leave it ticked and change your mind later, every email we send carries a one-click link at the bottom that takes you off the list straight away, with nothing to fill in and no one to ask.
What we do not do
We do not sell your personal information. We do not ask for sensitive personal details through these forms. If you share a personal story, we will treat it with care and will not publish it as a reflection without follow-up and permission.
Questions
If you have questions about your details or want something removed, send us a note through the contact page.
